JOB TITLE:
Accounting and Billing Assistant
Full Time In-Office Position
KEY RESPONSIBILITIES:
- Accounts Payable Management: Process and track financial transactions, ensuring accuracy and compliance with company policies.
- Client Account Support: Assist with client inquiries, billing, and account management, resolving discrepancies efficiently.
- Accounts Receivable & Billing: Process AR payments, make deposits, and monitor billing, ensuring timely and accurate transactions.
- Bank Reconciliations: Reconcile bank statements to maintain accurate financial records and identify any discrepancies.
- Audit & Reporting: Assist in preparing reports for 1099 vendors, W-2s, and worker’s compensation, ensuring compliance with tax laws and company policies.
- Expense Verification & Processing: Review and approve employee expenses, ensuring proper documentation and adherence to company guidelines.
- Payroll Support: Assist with the processing of bi-weekly payroll, including 401(k) contributions and other benefits-related tasks.
- Business Property Tax Filing: Help with Business Property Tax renewals and filing to ensure timely compliance.
- Project Data Entry: Use BQE Core (or similar software) to enter and review project data for accuracy and completeness.
- Quality Control & Peer Review: Conduct thorough checks on project setups and other accounting tasks to ensure they meet our high standards.
- General Administrative Support: Provide accounting and administrative assistance as needed, including managing travel arrangements and supporting operational needs.
QUALIFICATIONS:

Education: Bachelor’s degree in Accounting, Finance, Business Administration, or a related field preferred.

Experience: At least 5 + years of experience in accounting ideally within a project-based industry.

Technical Skills: Proficiency with accounting software and tools is required, with hands-on experience in BQE Core or similar platforms strongly preferred. Strong Excel skills required.

Accounting Knowledge: Solid understanding of accounts payable, general ledger processes, and financial reporting.

Attention to Detail: Strong organizational skills with a commitment to accuracy and the ability to manage multiple tasks simultaneously.

Communication: Excellent verbal and written communication skills, with the ability to interact professionally with clients, vendors, and team members.

Proactivity & Problem Solving: Ability to take ownership of tasks, work independently, and identify opportunities for process improvements and efficiencies.
